THE CLIENT
The Client File
Everything the clinic knows about one person, on one record, across twenty-five panels. Not a contact card with appointments attached — a file.
Drawn from the real screen. Every module opens as its own window on the desk.
WHAT IT DOES
One person, one record.
A history that crosses branches
The timeline merges reservations, payments, visits, files, signed forms and notes into one day-by-day history, and deliberately shows every branch, badged.
Packages, and everything that happens to them
Sell, discount, change the quantity, move the expiry, freeze, or transfer to another person — each with its own history table behind it.
Money on the record
Balance, refunds, cash-back, outstanding amounts and cancelled payments — with cancelling a cash payment and a card payment held as two separate permissions.
Files with versions
Uploads keep folders, versions and an access log, and can be sent to the client.
Forms that come back signed
Consent and waiver templates go out by WhatsApp or SMS and return signed against the file.
Phones, plural
One client, many numbers, matched however a person might have typed them.
Points, price groups and tags
Loyalty points earned per visit and per package, per-client price lists, and tags including physical ones.
Duplicates, merged
Two records for the same person can be merged, with an ignore list so a decision stays decided.
ONE DETAIL WORTH KNOWING
A history that omits half of itself is worse than no history.
Almost everything in the system is scoped to the branch you signed in to, and that is correct. The client timeline is the deliberate exception. On one live clinic, nine hundred and one clients had attended more than one branch — so a receptionist in Amman looking at a file that silently hid last week’s visit in Irbid would have been reading something untrue. The timeline widens, and badges every day with the branch it came from, so the widening is visible rather than assumed.
